Overview

This Cancellation Policy applies to all journeys and services confirmed with Adrion Custom Travel Agency. It forms part of our Terms of Business. Cancellation fees reflect costs already incurred with third-party suppliers (accommodation, guides, transport, activity providers) whose own cancellation policies are passed through to you. We encourage all clients to arrange comprehensive travel insurance at the time of booking to cover cancellation risk.

How to cancel

To cancel a confirmed booking, you must notify us in writing by email to info@adriondmc.com. Cancellation takes effect from the date we receive your written notice. Verbal cancellations are not accepted. We will acknowledge receipt of your cancellation notice within two business days and confirm the applicable fee.

Cancellation fees

Non-refundable third-party costs

Certain components of your journey may involve non-refundable third-party costs regardless of the notice period — for example, reserved restaurant tables, event tickets, specialist guides, or charter transport. These costs are identified in your proposal where known, and will be deducted from any refund due. We will always aim to recover costs from suppliers on your behalf, but cannot guarantee recovery.

Deposit

The deposit paid at confirmation is non-refundable in all cases unless Adrion cancels the journey for reasons within our control (see below). The deposit amount is stated in your confirmed proposal.

Partial cancellation

If one or more members of your party cancel while others proceed, the cancellation fee will be calculated on the pro-rata share of the total price attributable to the cancelling person(s), unless doing so requires a change in programme that affects the remaining party. In that case, we will advise you of any additional costs before confirming the change.

Changes and rebooking

A request to move confirmed dates is treated as a cancellation of the original booking and a new booking, unless we are able to transfer the booking without loss. We will always endeavour to accommodate rebooking requests. Where third-party suppliers impose a change fee, this is passed through to you. Cancellation by Adrion

If Adrion cancels your journey for reasons within our control (for example, failure to secure the necessary services), we will offer you either a full refund of all amounts paid or an alternative programme of equivalent value. We are not liable for any consequential loss, including travel costs incurred by you for flights or other independent arrangements.

Force majeure

In the event of force majeure (circumstances beyond our reasonable control, such as natural disasters, pandemics, severe weather, government travel restrictions, or civil unrest), Adrion will make every reasonable effort to rearrange or reschedule affected services. Where rescheduling is not possible, any refund will be limited to the amounts actually recovered from third-party suppliers. Travel insurance covering force majeure events is strongly recommended. Travel insurance

We strongly recommend that all clients arrange comprehensive travel insurance at or before the time of booking. Your policy should cover trip cancellation, curtailment, medical expenses, personal liability, and loss of personal belongings. Adrion is not responsible for costs that could have been covered by travel insurance.

How to claim a refund

Where a refund is due, it will be returned to the original payment method within [[REFUND TIMELINE — e.g. 14 business days]] of the cancellation being confirmed in writing.
